Guides
Open in dashboardBring your team into Konkui so the right people can answer customers, manage content and look after the account. This guide covers inviting people, choosing between the Staff and Admin roles, following up on invitations, and getting each teammate ready for team handoff.
Before you begin
- You must be an Admin to invite people. The person who creates a workspace is its first admin.
- Have each teammate's email address ready. They will sign in with it.
Choose a role
Konkui has two roles. Pick the smallest role that lets each person do their job.
| Role | Best for | Can do |
|---|---|---|
| Staff | Customer service, sales and content staff. | Day-to-day work: answer customers in Messages, take over from the AI, manage knowledge, FAQ, files and products, test the bot, and view reports. |
| Admin | Owners and managers. | Everything Staff can do, plus the admin-only actions below. |
What only admins can do
| Area | Admin-only actions |
|---|---|
| Team | Invite members, see and manage pending invitations, and view the member list on Settings › Member. |
| Billing | Choose or change a plan and pay, edit billing details, set a spending cap for overage, and cancel the subscription. |
| Channels and workspace | Edit the company profile, connect a LINE OA or Facebook Page, change tab visibility and optional features, manage the LINE waitlist, turn off all bots at once, and set Realtime room limits on Settings › General. |
| Storefront | Change storefront pricing settings. |
| Developers | Create and revoke API keys, manage webhooks, and view API usage and webhook deliveries. |
| AI and content | Delete a bot, change FAQ settings, generate FAQs and test cases with AI and review the drafts, create a test case from a conversation, manage verification rules, and run model evaluations. |
| Operations | Cancel a background job, moderate product reviews, and approve or reject changes proposed by the Konkui Assistant. |
Step 1: Invite a teammate
- Open Settings › Member.
- Under Invite Staff and Admins, enter the person's Email.
- Leave Invite as organization admin unticked to invite them as Staff, or tick it to invite them as an Admin.
- Click Send Invite.

| # | Item | What it does |
|---|---|---|
| 1 | The address the invitation goes to. | |
| 2 | Invite as organization admin | Ticked: Admin. Unticked: Staff. |
| 3 | Send Invite | Sends the invitation. |
What happens next depends on the person:
- No Konkui account yet: they receive an invitation email with a link to sign up. The link is valid for 7 days.
- Already has a Konkui account: they are added to your workspace straight away and get an email telling them so.
- Already a member: you see an error, and nothing changes.
Step 2: Follow up on pending invitations
Invitations that have not been accepted appear under Pending Invitations with the role, the date sent, and the expiry date. Expired ones are marked (Expired).
- Click Resend if the person lost the email or the invitation expired. They get a fresh link. If they have created a Konkui account in the meantime, Resend adds them to the workspace directly.
- Click Revoke to cancel an invitation, for example if you used the wrong address. The link stops working.
Step 3: Check who has access
Active Org Members lists everyone in the workspace with their role.

| # | Column | What to look for |
|---|---|---|
| 1 | ROLE | Admin or Staff. Make sure only the people who need admin access have it. |
| 2 | ON-CALL | Online teammates are available for handoff alerts. |
| 3 | CONTACT | Configured teammates have chosen where alerts go. |
Step 4: Get everyone ready for team handoff
Each teammate sets up their own alerts; an admin cannot do it for them. Ask every new member to:
- Open Team handoff, choose Telegram, LINE or SMS, enter their contact, and click Save contact.
- Click Send test alert and then I received the test once it arrives.
- Click Receive alerts, or turn on Your availability in Messages.
They can also manage contacts on Settings › Member under Notification Contacts, and pick which one is used under Active Notification Contact.
Check that it worked
- The new teammate appears in Active Org Members with the right role, and the invitation disappears from Pending Invitations.
- After they finish Step 4, their CONTACT column shows Configured, and they appear under Available Members on Team handoff while they are available.
